September 3, 2008- YWCA Event Planning Committee
Tribute Update:
Venue- Embassy Suites
Julie will coordinate the menu with the hotel. She is also checking with the artist to see what our options are for using the new Caremark for our centerpieces. We also discussed other options for centerpieces. Possibly something similar to the Martini Party or also seeing what Embassy has to offer.
Corporate Sponsors
- Julie will post/send list with contact info to Becky so she can post on Google Doc. Committee members are to go on Google Doc and assign themselves to businesses that they feel comfortable calling. We will be following up on the letter that was already sent to the corporations and asking if they would like to be a sponsor. This is going to be a huge role for the committee and our goal is to have all companies contacted by Friday, September 19.
- Becky- Could you possibly put directions on the blog as to how to pull the list from Google Doc?
- We decided to add another level for corporate sponsorship. For $500 a company can buy a table (10 seats) and get signage at the table.
- Signage for tables- discussed updating a bit from last year, will use the paper with the new Caremark.
Pre-Coffee Event
In the past women have arrived very early so we discussed having a pre-coffee event where we could display past Tribute winners and honoraries. If possible we would like to also have samples of the new YWCA scone (Julie is working on this).
Honorary Chair
Still working on getting Mrs. Pelini, needs to decide 5 weeks out from the event so we can get the invites made.
Keynote
Julie has not heard back from Mama J yet.
Invitations
Will send out 3 weeks in advance. Hope to have an e-version. Possibly post on facebook?
Ticket Sales
Will have pre-sales and sales at the event. Also discussed having e-pay like we did for the Martini Event (Event Brite?). Want to check with Stephanie to see how that turned out.
Additional Fundraising Options
Envelopes at tables (ask)
Donations in honor of someone, the honoraries will then be listed in next years program
Live Music
Discussed some possible groups, 40-U-40, MBJ, Landis?… Julie is going to contact the music departments at UNL and Wesleyan
Nominations
Haven’t received a whole lot of nominations and forms are due September 10. Julie is going to send/post to the blog the list of past Tribute Winners. We decided the event planning committee could split up this list and call, asking the women to nominate someone. I believe this will also be posted on Google Doc.
Nicole is going to post the Tribute to Women event on facebook and the committee will be the creators so we can all send to our contacts.
Heart and Sole Update:
Possible venues: Lincoln Country Club, Chez Hay, Del Ray, Champions Club, Rococo, Depot
Possible Dates: Feb. 5-7 or Feb. 12-13
Liz is going to check the Mayor’s calendar for other events/fundraisers on these dates. Nicole is going to check with Downtown Association, Chamber and YPG. Sam is going to check UNL, Lied Center, Embassy and Cornhusker.
Talked about partnering the event with another non-profit. Top choice would be Friendship Home. Julie was going to see if they would be interested.
At next meeting everyone should bring artist contacts or any other ideas they have to make the event memorable and unique.

Hello All!
Wow! It sounds like you guys have got a lot planned and some really great ideas. I apologize I was unable to attend. I can't attend the September 19th meeting either because it is the day of JA's dinner and auction and I will be setting up all day.
I like the idea of having envelopes at the tables and maybe even an option of Pre-Addressed postage paid envelopes so they can mail it in later also? Just a thought.
Also in regards to the artists contacts, we should think about contacting the art departments at UNL, Wesleyan, SCC and Union College. They might be able to create some really great pieces for decor and even to auction off. Also, there is an arts & humanities LPS focus program that has some very talented students. I would be more than happy to make the ask on these groups, but I just need to know a little more about what we are looking for.
I will also be happy to call people on the Google Doc list, Are we able to sign up for which ones we would like right on the doc? Technology really isn't my thing :)

Thanks Sam for taking the notes! They look great. Sorry that I had to call and cancel at the last minute. I hope Julie got my message! I was out sick all week and finally made it to work Friday afternoon.
Which brought up something that I hadn't thought about before...I don't have everyone's cell phone numbers! We should make a contact info sheet at the next meeting with all of our important info for everyone to have.
See you all at the next meeting. Maybe we can use the conference call number that Stephanie provided so those that can't make it might be able to listen in. (??)
